Grant Vetting Procedure

The Lee Kum Kee Family Foundation follows a structured vetting procedure designed to identify and support high-impact projects that align with our Vision, Mission, and Strategic Focus. We prioritize evidence-based initiatives that address the root causes of family challenges.

The Application Journey

Before moving forward, organizations interested in applying for the grant should study our Vision, Mission, and Strategic Focus and our Integrated Model and Strategy  

This stage allows organizations to gauge whether their prospective project aligns with our Foundation’s high-level goals of building healthy, harmonious family relationships across generations.

Step 1. Concept Note Submission 

 

If both parties’ vision and mission are aligned, potential partners should submit a concise Concept Note (maximum two pages) in English to us through email. This document should outline:

  1. ​Program background (Why, Theory of Change, preferably in graphical format for easy understanding)

  2. Goals/Objectives (What)

  3. Program idea & content (How)

  4. Expected output, outcome/deliverables (How to measure)

  5. Estimated budget amount

  6. Organization background and past experience

Step 2. Grant Application

 

We will review the Concept Note and provide feedback within 14 working days. If the project shows strong potential, we will invite the organization to submit a detailed proposal in English with the following details. At this stage, organizations must also complete an Organization Information Google Form to provide necessary information for our internal records.

 

  1. Program background (Why, Theory of Change in graphical format)

  2. Goals/Objectives

  3. Period of project and expected scale (When)

  4. Target audiences (Who)

  5. Program contents (What, How)

  6. Expected output

  7. Outcome/Deliverables (How to measure)

  8. Sustainability

  9. Estimated budget

  10. Organization background and past experience

Step 3. Vetting by Foundation Office

 

The Foundation team will review the full project application. The final granting result is subject to the decision of our Board, based on the following criteria: 

  1. The relevance of the project theme to our vision and mission.

  2. Social needs with evidence e.g. research, survey, study, reports

  3. Project feasibility

  4. The social impact and the measurement methodology

  5. Experience and track record of the organization

 

Potential partners may be invited to pitch their project idea directly to our Board of Directors. This presentation allows the Board to engage with the partner organization’s leadership, ask clarifying questions, and evaluate the project's long-term sustainability and potential social impact.

Step 4. Final Decision & Implementation

 

The Board of Directors makes the final decision to approve or reject the application. The Foundation team will inform potential partners of the final result within 3 months.  


Once a project is approved, the journey moves into implementation. The partner organization will need to submit the following items to us.

 

  1. Agreement
    We will work with partners to prepare two sets of agreements. After signing the agreement, our partner should return one signed agreement to our office for record. 

  2. Reporting
    We will arrange on-site visits and meetings during the implementation period. Partners should submit both mid-term reports, final reports, and audit reports to us based on an agreed timeline. The template of the report will be provided.

  3. Payment
    Partners should provide bank information for grant payment after signing the agreement. A hardcopy receipt should be issued as soon as possible after receiving payment.

    Payment will be split into multiple installments subject to agreed timeline and the duration of the project.
